Terms of Service

1. The service
PolicyPen provides a hosted platform for authoring, approving, publishing, and tracking acknowledgment of company policies and procedures. These terms govern your organization's subscription and each user's access to a workspace.
2. Accounts and acceptable use
You are responsible for the accuracy of the information in your account and for keeping credentials confidential. You may not use the service to store or distribute unlawful content, attempt to access another organization's workspace, probe or disrupt the service, or resell access without our written agreement.
3. Your content
Your organization retains all rights to the policies, procedures, and files it stores in PolicyPen. You grant us only the licence needed to host, process, back up, and display that content as part of providing the service.
4. Subscriptions and billing
The service is billed per active seat, monthly, via Stripe. Seat counts are synced as users are added or deactivated; plans may include a minimum seat commitment. Trials convert to paid subscriptions only when you check out — no card is required for a trial. Fees are non-refundable except where required by law.
5. Availability and support
We aim for high availability but the service is provided "as is" and "as available". Planned maintenance is announced in advance where practical. Support is provided by email during business hours.
6. Termination
You may cancel at any time from the billing page; access continues to the end of the paid period. We may suspend or terminate a workspace for material breach of these terms or non-payment. After deprovisioning, workspace data is permanently deleted as described in the Privacy Policy.
7. Liability
To the maximum extent permitted by law, our aggregate liability arising out of the service is limited to the amounts your organization paid us in the twelve months before the claim. We are not liable for indirect or consequential losses. Nothing in these terms limits liability that cannot be limited by law.
8. Changes
We may update these terms from time to time. Material changes will be notified to workspace administrators by email or in-app notice at least 30 days before they take effect.
